IOC Session in Lima, Peru – Updated Information for the media

1) General Information AND UPDATED SCHEDULE OF EVENTS

The IOC Session will be held from 13 to 16 September in Lima, Peru. It will be preceded by a meeting of the IOC Executive Board (EB) on 11 and 12 September.

The meetings of the Executive Board will take place at the Westin Hotel in Lima. The IOC Session, the presentations of the Candidate Cities, the vote to confirm the host cities for the 2024 and 2028 Olympic Games and the signature of the Host City Contracts will all take place at the Lima Convention Centre (LCC).

2) MEDIA BRINGING EQUIPMENT INTO PERU

The Government of Peru has issued new and updated instructions for all media bringing equipment into the country for use at the IOC Session. This includes technical equipment and cameras.

All media bringing equipment with them into Peru with their luggage should complete the process below, even if they are exempt from having to obtain a Media/Journalist Visa.

Please be advised that some equipment can be authorised to enter the country without a customs declaration. This information can be found in the following link:

Equipment like fly-away communications systems and drones are not to be included in this form. The arrangement for the entrance of this kind of equipment must be made with the Ministry of Transport and Communications of Peru.

3) MEDIA ACCREDITATION PICK-UP

All media should proceed to the Novotel Hotel in Lima to collect their accreditation. Please note that it will not be possible to collect or change media accreditation at either the airport, LCC or the Westin Hotel.

The Media Transport bus system will include a stop at the Novotel for the morning services. Media will then be able to take the next Media Shuttle or take their own taxi to the Westin or the LCC after they have collected their accreditation.

The address of the Media Accreditation Office at the Novotel is – Novotel Hotel Lima, Avenida Victor Andres Belaunde 198, San Isidro 15073.

Media accreditation will be distributed only upon presentation of a valid passport or ID and press cards/proof of media affiliation. The Media Accreditation Office at the Novotel will be open daily from 9 to 16 September.

4) MEDIA FACILITIES AT THE LIMA CONVENTION CENTRE

LCC Main Media Centre (MMC)

The Main Media Centre consists of the Media Press Centre (MPC) and the International Broadcast Centre (IBC), which are both located in the Lima Convention Centre (LCC). The IBC is located on Level 1 next to the media entrance. The MPC is located on Level 4 next to the Media Conference Room and media catering.

The opening hours of the MMC at the Lima Convention Centre have been revised to the following:

There will be a sscurity Sweep at the LCC on the evening of the 10 September. This will begin at 8 p.m. There will be no access to the LCC during the security sweep. Further information on this will be available on-site.

5) MEDIA FACILITIES AT THE WESTIN HOTEL FOR THE EXECUTIVE BOARD MEETINGS

Media Work Room

The Executive Board will meet at the Westin Hotel in central Lima on 11 and 12 September. Accredited media representatives will be able to access the hotel throughout the event. There will be a media work room on Level 3 of the Westin Hotel, which will be open to media representatives for the duration of the Executive Board meetings on 11 and 12 September.

WESTIN HOTEL MEDIA WORK ROOM OPERATING HOURS:

  • Monday 11 September: 8 a.m. – 8 p.m.
  • Tuesday 12 September: 8 a.m. – 6 p.m.

Executive Board Photocall

There will be a photocall before the start of proceedings of the Executive Board meeting on 11 and 12 September at 8.45 a.m. each morning. Photographers and ENG camera operators who wish to attend the photocall should register their interest at the Media Welcome Desk on Level 4 of the Lima Convention Centre or at the Westin Media Work Room by 6 p.m. the night before. There will be no interview opportunities at the photocall.

6) IOC MEDIA BRIEFINGS AND PRESS CONFERENCES

The list of IOC Media Briefings and Press Conferences can be found in Section 1 in the updated Schedule of Events. All IOC Press Conferences will be live streamed on the IOC Media YouTube Channel and Periscope.

7) MEDIA TRANSPORT

There will be a dedicated media shuttle service from the two clusters where the recommended media hotels are located, San Borja and Miraflores, to the Lima Convention Centre and to the Westin Hotel on Executive Board meeting days. The provisional timetable and pick-up points are detailed below. Updated information will be available daily at the Media Welcome Desk on Level 4 of the Lima Convention Centre. Please note that the timetable is subject to change.

8) SPECTRUM SERVICES PROCEDURE

Please note that anyone wishing to use a wireless camera at the IOC Session in Lima must obtain a Peruvian Radio Frequency License. Media representatives should follow the process below and submit their requests no later than 5 September;

  • All requests from the media should be sent to: juegosolimpicos_dgat@mtc.gob.pe copying j.m.dundas@btinternet.com
  • All requests will be answered by the Peruvian Ministry within 72 hours depending on the type of equipment for which the licenses have been requested
  • The subject of the email should be: Asignación Temporal de Espectro Radioeléctrico Sesión Comité Olímpico Internacional
  • The email should contain a cover letter in pdf format with the following text and the information included in the table detailing the equipment;
