The Brisbane Organising Committee for the 2032 Olympic and Paralympic Games (Brisbane 2032, we, us, or our) respects your right to privacy. 1. Who we are

Brisbane 2032 is a statutory body established under the Brisbane Olympic and Paralympic Games Arrangements Act 2021 (Qld) to plan, organise and deliver the Brisbane 2032 Olympic and Paralympic Games (Games) and is headquartered in Brisbane, Australia.

We are responsible for a number of functions associated with the Games including:

  • recruiting and managing volunteers;
  • managing the preparation and operation of venues and facilities for the sports program;
  • organising events and ceremonies, including the Olympic and Paralympic torch relays, the opening and closing ceremonies, and the cultural Olympiad; and
  • generating revenue through sponsorships, licencing, merchandising, ticketing, hospitality and other means.

2. Personal Data we collect

The Personal Data we collect from you either directly or indirectly will depend on how you interact with us. We collect Personal Data about you from the following different sources:

2.1 Information you provide directly

We collect Personal Data directly from you when you choose to provide us with this information online and through your other interactions with us. This may include data collected when you create an account, engage with us on social media, participate in surveys, competitions or other promotional programmes, make an inquiry or submit an application for employment, volunteering, business or sponsorship opportunities.

Certain parts of our Website ask you to provide Personal Data when you engage with the following services:

  • account creation including registering for updates, competitions and other marketing associated with the Games;
  • employment, volunteering, business and sponsorship opportunities;
  • accreditation applications;
  • tickets, merchandise and other purchases including hospitality and licensed products; and
  • making inquiries, requests for information and submitting any complaints.

2.2 Information we collect indirectly

We collect your Personal Data indirectly including through your device when you use our Website. Some of the information we collect indirectly is captured using cookies and other tracking technologies, as explained further in the “Cookies and similar tracking technology section” below.

2.3 Information from third parties

We also collect your Personal Data from third party sources including from our service providers that provide operational assistance, email, marketing, and analytics services and more generally from social media platforms.

In particular, we collect your Personal Data from:

  • our Games Delivery Partners. These are organisations with an official role in organising, conducting, promoting or managing the Games including the International Olympic Committee (IOC), the International Paralympic Committee (IPC), the Australian Olympic Committee (AOC), Paralympics Australia (PA) and various local, state and federal governments (collectively Games Delivery Partners);
  • relevant government agencies;
  • professional advisers;
  • contracted service providers and other organisations we do business with; and
  • current or former employers (for example, to obtain a reference check if you are applying for an employment or volunteering opportunity with Brisbane 2032).
The below describes the categories of Personal Data we process about you and from where we have obtained that data:

such as your name, email address and country of residence. For current and prospective service providers, sponsors or other organisations we do business with, we may also process your postal address, telephone number, banking details and ABN.

We use the Personal Data we collect about you only for the purposes described in this Privacy Policy or for purposes that we explain to you at the time we collect your information. This includes processing your Personal Data for the following purposes:

  • to assess applications for employment, volunteering opportunities, business and/or sponsorship opportunities;
  • to assess, administer and manage accreditation applications;
  • to communicate with employees, volunteers, contractors, delivery partners, external stakeholders, suppliers and sponsors;
  • to perform, administer and manage commercial contracts and sponsorship relationships;
  • to communicate with ticket and hospitality package holders including about matters relating to the Games, the timing of sessions or changes of any relevant details;
  • to communicate with event invitees and attendees about the planning and staging of those events;
  • to provide news, updates and information that you have consented to, subscribed to or otherwise requested through Brisbane 2032's subscription services or social media channels;
  • to administer competitions including by processing and assessing competition entries and undertaking any activity connected to the competition;
  • to provide, manage, market and improve Brisbane 2032's activities and services;
  • to provide, manage, market and improve the activities and services of our Games Delivery Partners;
  • to promote the Olympic Movement, the legacy of the Games and the development of sport;
  • for security-related purposes;
  • to ensure the health and safety of Brisbane 2032 premises, workers, suppliers, visitors and the public;
  • to process and respond to any inquiries or complaints; and
  • as otherwise authorised or required by law.

4. Who we share your Personal Data with

We may share your Personal Data with the following categories of recipients:

  • IOC will use the Personal Data that it receives from us as an independent data controller to evaluate the performance of digital properties or activities connected to the Olympic Games, develop profiles of its fans in order to better understand fan preferences and interests, personalise its services and marketing activities and, where you have given your consent, send you marketing communications. IOC will use your Personal Data in accordance with its Privacy Policy;
  • IOC's partners if you consent to receiving their marketing communications. These partners will use your Personal Data in accordance with their privacy policies;
  • Games Delivery Partners to enable them to perform their official roles in organising, conducting or managing the Games or otherwise if you consent to receiving their marketing communications. Games Delivery Partners will use your Personal Data in accordance with their privacy policies;
  • Brisbane 2032 partners if you consent to receiving their marketing communications. These partners will use your Personal Data in accordance with their privacy policies;
  • Other Olympic Movement stakeholders including International Federations, National Olympic Committees and other Organising Committees of the Olympic Games (Committees) if you consent to receiving their marketing communications. These Committees will use your Personal Data in accordance with their privacy policies;
  • Third party services when you use third party services linked through our Website. For example, where you engage with Brisbane 2032’s social media channels such as Facebook and LinkedIn, your Personal Data will be collected by the provider of those third party services. Your use of such third party services will also be governed by the terms and privacy policies of those providers;
  • Third party service providers who assist us in performing our functions and activities associated with planning, organising and delivering the Games (including information technology service providers and those who provide other administrative and support functions for Brisbane 2032);
  • Any competent law enforcement body, regulatory, government agency (including national and international anti-doping organisations, the Australian Federal Police and Queensland Police Services), court or other third party (including our professional advisers) where we believe disclosure is necessary to comply with our obligations under applicable laws, to exercise, establish or defend our rights, or to protect your (or a third party’s) vital interests; and
  • Any other person with your consent or where we are otherwise authorised or required by law to disclose your Personal Data.

5. Cookies and similar tracking technology

Cookies and similar tracking technology (collectively referred to as Cookies) are used to collect and use Personal Data about you including to tailor our online advertising based on your browsing activity and the location from which you access the Website. 6. Keeping your Personal Data secure

We have implemented appropriate technical and organisational measures to protect your Personal Data against loss, unauthorised access, modification, disclosure or any other misuse. These measures have been implemented taking into account current technology, the cost of implementation, the risks presented by the processing and the nature of the Personal Data with particular care for sensitive personal data.

Where you have created an account that uses a unique password to enable you to access our Website it is your responsibility to keep this password secure and confidential.

7. International data transfers

Brisbane 2032 processes your data in Australia and has commercial partners, Olympic stakeholders and service providers located around the world. This means that we may process your Personal Data and transfer your Personal Data to countries outside of the country in which you are based including Switzerland. These countries may have data protection laws that are different to the laws of your country (and in some cases may not be as protective).

8. Data retention

We retain Personal Data we collect from you where we have an ongoing legitimate business need to do so (for example, to provide you with a service you have requested or to comply with applicable legal or tax requirements).

When we no longer have an ongoing legitimate business need or legal reason to process your Personal Data, we will either delete or anonymise it, or if this is not possible, we will securely store your Personal Data and isolate it from any further processing until deletion is possible.

Please note that you may be asked to provide evidence of your identity in order for us to action your request. There may also be some circumstances under applicable laws which prevent us from actioning your request. We will give written notice explaining these to you if these circumstances arise.

Brisbane 2032 will also act and make decisions under this Privacy Policy that give proper consideration to and are compatible with relevant human rights in accordance with the Human Rights Act 2019 (Qld).

We may update this Privacy Policy from time to time in response to changing legal, regulatory, technical or business developments. When we update our Privacy Policy, we will take measures to inform you as are appropriate in the circumstances and consistent with the significance of the changes we make.
